DEPARTMENT OF FINANCE. INFORMATION ARCHITECTURE TO MIGRATE TO SHAREPOINT 2013 BASED MANAGED INFORMATION ENVIRONMENT.
    ATM ID: FIN-020-16.
    Agency: Department of Finance.
Close Date & Time: 22nd November 2016 at 4.00 pm (ACT Local Time).
    Location: ACT.
    ATM Type: Request for Tender.
Description: Integral to the success of Finance's Digital Office program are the 'enterprise', 'team' and 'personal' sections of the 'managed information environment' (especially SharePoint 2013 Portal) and underpinning templates, patterns, sites, roles, alerts, workflows, dashboards and reports that can facilitate and enhance this way of discovering, aggregating, linking, navigating, assuring, accessing and managing working, reference-only and archived information items in both office-automation / unstructured-information and business-systems / structured-information environments.
The Information Architecture work will support the design of SharePoint 2013 Portal and will involve documenting details of information belonging to and/or used by business / function areas, its type, category / class, business and legal context, creation / collation, sharing / re-use, flows, security & compliance requirements, ownership / stewardship, presentation and lifecycle management, is segmented into the following six components which will be developed in collaboration with up to seventy business and technical stakeholders:· Enterprise information architecture - one way of doing things - processes, roles, governance & control and information common to all / most business / function areas reflected through navigation structures, enterprise search, taxonomy, reference data, metadata, site templates (consistent with the Intranet experience), workflow patterns, dashboards and reports.· Team information architecture - business / functions and team specific processes, roles and information as well as navigation and search of team specific information assets deduced from the enterprise information. In most cases the contents (e.g. documents, tasks etc) to be presented via team space will get deduced from the enterprise contents depending upon the metadata of contents. The emphasis will be on expanding enterprise information architecture (use of common workflow patterns, templates etc) and reducing team and business / functional information architecture to embrace 'one way of doing things' and realise economy of scale from ongoing service and support, measuring, monitoring and reporting.
    · Personal information architecture - representation of I/my processes, roles, profiles, tasks and information deduced from enterprise, team and personal profiles in the business and ICT systems in Finance as well as documents created for strictly personal use (development plans, resume, poem, recipes etc),
    · Information architecture maintenance - information architecture ownership/stewardship, presentation, maintenance and regular (e.g. bi-annual) reviews (including alerts) to ensure re-use and currency,
    · Enterprise taxonomy and devolved maintenance - develop and present enterprise taxonomy with maintenance devolved to the business / function areas as per ownership/stewardship, and
    · Metadata and migration maps - develop inventory of current / 'as-is' and target (in managed information environment) information items, their current and desired / target metadata and migration maps (from as-is to target) to be used during migration.
Other Instructions: The following policies and guidelines are relevant to the Services:
    a. DC2020 policy principles
    b. Record Management and Information Security and Content Accessibility standards and guidelines
